Job Description

The Sales Support Specialist is primarily responsible for supporting of outside sales channels for formal quotation development, including product and scope development, costing and pricing development, determination of lead times, and development of formal quotations/tender documents. In the event of actual award, this role will input sales orders, provide order acknowledgements, provide shipping notifications, and process invoicing requests. This role will ensure customer satisfaction through timely quotation development, order processing, and provide production status updates and shipping information. This role needs to build client business relationships with the goal of increasing product sales over time and developing a thorough understanding of customer needs. This role will diligently perform sales support duties to achieve BU sales and margin objectives.

  • Directly receive and capture potential sales inquiries from customers, including intra-company production facilities or external sales channel personnel via telephone, email, or other electronic media.
  • Research and develop correct product or offering to fulfill customer need.
  • Secure necessary costing and lead time from operations, planning, and finance resources.
  • Prepare formal tender/quotation document, including scope of offering and sales price consistent with business unit margin objectives, lead time, and commercial terms, delivering to customer or external sale personnel for presentation to customer.
  • Log and track quotation information in ERP system.
  • Review PO to verify scope, pricing, delivery, and commercial terms match quotation. If the event that items require reconciliation, inform external sales personnel so that they may resolve the discrepancy.
  • Once order is aligned with proposal, enter order into BU ERP system for production scheduling, create order acknowledgement, and submit to customer.
  • Provide production updates and shipment forecast.
  • Upon preparation for shipment, provide shipping bill of lading information and shipment notification.
  • Prepare invoicing request for finance.
  • Supply any required support documentation such as test reports, certificates of conformance, etc.
  • Support social media, marketing, and website promotional activities by completing assigned projects in a timely manner utilizing support resources allocated for the assigned task.
  • Issue and track customer satisfaction survey requests.
  • Regularly collect and provide direct customer feedback on price, lead-time, feature, function, and benefits of existing/new product offerings.

Required Education / Experience

  • Bachelor’s degree in related discipline such as business or similar.
  • 3-5 years of successful experience in outside/inside commercial sales role

Preferred Education / Experience

  • Advanced degree in related discipline. Certification may be required in some areas.
  • 5 years of successful experience in power systems and/or substation sales, service, or operations experience
